Your options

Free checklists, or this

We read the free ones. Several are good, and Freshlance's checklist is more thorough than ours.

Freshlance checklist, free

  • Twelve sections (agreement, payment, contacts, access, assets, timeline, kickoff, internal setup, client confirmation and more) with extras for designers, developers, writers and consultants. Word, PDF, Markdown and ODT, no signup.
  • The better pick if you want the most complete list. No emails.

OnboardHive templates, free

  • A 42-step checklist, an intake questionnaire, a welcome packet outline and ten onboarding emails, as Markdown or CSV, no email gate.
  • The better pick for agencies, or if you want more emails. Plain text files to format yourself, and a paid app behind them.

Ben Matthews pack, free

  • Word and PDF with a welcome email, a kickoff checklist and a working agreement covering feedback, response times and the decision-maker.
  • Good if you want the working agreement. Downloads go to an account on his site.

This kit, $12 once

  • One short printable checklist (26 items, A to E) plus welcome, scope confirmation and recap emails, in one editable Word file and a PDF.
  • Shorter than the free lists, with no discipline extras or working agreement. You're paying for a tidy, print-ready set you can run per client.

FAQ

Questions, answered straight

What should a client onboarding checklist include?

At minimum: scope and price in writing, the deposit or first invoice, contacts and the channel you'll use, access to their files and accounts, a kickoff call that sets the first milestone and who approves it, and a first progress note in week one. This file has 26 items in five sections, A to E, in that order.

When do I send each kickoff email?

As the file notes on each one: the scope confirmation after the discovery call and before any work starts, the welcome email right after they say yes, and the kickoff recap within a few hours of the kickoff call.

Is this a contract?

No. It's a checklist and emails, not a legal contract. The first item asks for scope confirmed in writing (email or SOW); use your own agreement for the legal terms.

Do I need a CRM to use it?

No. A few items say “CRM” and “invoice log”; a spreadsheet, a notes file or whatever client tracker you already use works the same way.

Is there a free client onboarding checklist?

Yes, and some are good; see the comparison on this page. Freshlance's free checklist is longer than ours (twelve sections), and OnboardHive has ten free onboarding emails. This kit is for people who want one short printable checklist plus the three emails in one Word file.

What format is it?

A print-ready PDF (US Letter, prints fine on A4) and an editable Word file (.docx), which also opens in Google Docs and Pages. Everything in [brackets] is yours to replace.
